From: (greenhouse-mail.io OR hire.lever.co OR ashbyhq.com OR myworkday.com OR linkedin.com OR jobs-noreply OR noreply@jobs) Action: Apply label "Job Applications", Skip Inbox (optional)
In Gmail: Settings → Filters → Create new filter. Paste the from: terms, hit "Create filter," and apply the label. You can also apply it retroactively to existing emails.
Here are job application emails from my inbox. Today's date is [TODAY'S DATE]. [PASTE EMAIL SUBJECTS AND SENDERS — one per line, e.g.: "Your application has been received — Acme Corp" from greenhouse-mail.io "Update on your Director of Demand Gen application" from jobs@stripe.com "Interview invitation — Glean" from recruiting@glean.com "We've decided to move forward with other candidates" from noreply@ashbyhq.com] Classify each email into one of these categories: - NEW APPLICATION CONFIRMATION — first confirmation for a new application - STATUS UPDATE — movement on an existing application (review, next steps, etc.) - INTERVIEW INVITE — request to schedule a phone screen, video call, or onsite - REJECTION — they're moving forward with other candidates - SKIP — verification codes, newsletters, unrelated emails For each email, output: Category | Company | Role (if visible) | Date | Notes Then give me a summary: X new confirmations, X updates, X interview invites, X rejections.
You don't need to paste the full email body — subject lines and sender domains are usually enough to classify accurately. For interview invites, open the email and add any date/time details to the notes column.
Based on the classified emails above, format tracker updates for me. My tracker columns are: Date | Company | Job Title | Status | Notes For each classified email (skip the SKIP category): - Use today's date for the Date column - Status values: Applied, In Review, Phone Screen, Interview, Offer, Rejected - Notes: include the source platform if visible from the sender domain (e.g. "via Greenhouse") Output as a table I can copy-paste into my spreadsheet. Flag any rows where I need to manually confirm the job title.
Copy the table output and paste into your tracker. For new applications, add a new row. For status updates, find the existing row and update the Status and Notes columns.
